Revision Control for Engineering Drawings: Workflow, Audit Trail, and Common Pitfalls

Welcome to the new theDMSeffect Website

Most drawing incidents are not caused by bad intent. They happen because people are busy and the system makes it too easy to use the wrong file.

Revision control is the set of rules and tooling that answers:
– What is the current drawing?
– Who approved it (if approvals are required)?
– What changed?
– What was it previously?
– Who accessed or issued it?

1) A practical revision workflow (works in most organisations)

Step 1: Draft / working
Engineering updates are created and reviewed.

Step 2: Review / approval (as required)
The drawing is checked and signed off (formal or informal, depending on your governance).

Step 3: Publish as “current”
One version becomes the current, trusted drawing for the site.

Step 4: Archive prior revisions (still accessible)
Older revisions are kept for traceability, investigations, and reference.

Step 5: Control distribution
Users aren’t emailing random PDFs around as the “new truth”. The system is the truth.

2) Why CAD + PDF pairing matters

In many workplaces:
– CAD is the engineering source
– PDF is what the site uses day-to-day

If those become two unmanaged streams, users lose trust quickly. Pairing CAD and PDF versions reduces confusion and helps keep “current” unambiguous.

3) Common pitfalls (and how to avoid them)

Pitfall 1: Multiple “current” copies
Fix: Enforce one published location and stop treating emailed PDFs as the official record.

Pitfall 2: Revision order is wrong
Fix: Do a dataset review and clean-up before you rely on the system.

Pitfall 3: People can’t find drawings
Fix: Create metadata standards that match how people search (area, asset/tag, discipline, drawing type, description).

Pitfall 4: No governance
Fix: Define ownership. Who publishes? Who approves? Who uploads? Who audits?

Next step

Revision control only works long-term when you treat it as both:
– System capability, and
– Process + governance

If your dataset is messy and your standards are unclear, even the best system will struggle.
