Controlled categories and stronger account protection

Version 4.6.5 gives sites more control over categories and subcategories while strengthening sign-in and security protections across theDMSeffect.

More consistent document categories

Sites can now use a controlled list of approved categories and subcategories. This helps prevent duplicate, misspelled or unwanted entries, keeping document information more consistent for searching, filtering and reporting.

The feature can be enabled for individual sites, and existing behaviour remains unchanged until it is turned on. Authorised administrators and managers can maintain the available choices.

Controlled choices across everyday workflows

The approved list is used when uploading documents, importing metadata, updating document details and making bulk metadata changes.

Existing categories can be used to create the starting list, and category lists can be imported or exported as CSV files.

Included at no additional cost

Controlled Categories are included at no additional cost. Contact our team if you would like help reviewing your existing categories and setting up an approved list.

Stronger sign-in and account protection

Version 4.6.5 also strengthens protection for user accounts and includes further behind-the-scenes security improvements across DMS.

Depending on your organisation’s sign-in setup, some users may be asked to complete an additional verification step. This may be a one-time code sent by email or your organisation’s existing company sign-in process.

No action is required unless a user is prompted during sign-in.

Safer uploads, document access and integrations

Protections around file uploads, temporary document access and supported system integrations have also been strengthened.

Continuing to improve theDMSeffect

Version 4.6.5 gives organisations tighter control over document metadata and stronger safeguards for user accounts. These changes help keep information consistent without disrupting existing workflows.
